Modules

The basic installation of IS ALeX can be extended by the Data Boxes Module, Archiving Module, Views Module and Jobs Module.

The Data Boxes Module

Applicable document management systems used in the Czech republic must be capable to communicate with the Data boxes eGovernment system. The Data Boxes module provides this functionality in IS ALeX.

The Data Box web application on www.mojedatovaschranka.cz stores data messages for 90 days. To keep the messages after that, the owner of the data box has to archive the messages. Using IS ALeX, this process can be automatized.

The Data Boxes module downloads automatically all incoming and outgoing data messages from one or more data boxes and archives them in the IS ALeX environment. Data messages can be processed by authorized IS ALeX users, e.g. they can be sent to company's workflow process.

IS ALeX automatically unpacks all downloaded data messages. Hence, the system contains not only the original data message, but also all its unpacked attachments. These attachments are accessible directly, the installation of the 60XML Filler plugin is not needed on the client computers.

The Archiving Module

After having used IS ALeX for several years, the system contains old documents that uselessly occupy space on your disk. The Archiving module extends IS ALeX by the archiving functionality, which enables the administrator to archive the old documents on a CD, DVD, or a secondary storage place and remove them from the primary storage place. IS ALeX provides a simple way to make the archived documents available again. After inserting the media with IS ALeX archive into your drive and informing the IS ALeX about it, all archived documents are immediately accessible to IS ALeX users. Notice that archiving means that only files of your documents are moved and that the complete data about your documents is still available in IS ALeX.

The Views Module

The Views module provides means to define views on data in your database server. Using this module, you may define new views not only on the data of IS ALeX, but also on the data of a third party system (e.g. your accounting system) stored on the same SQL server. Hereby, you may define a view displaying e.g. the data of all documents in all subfolders of a given folder, or a list of all invoices from your accounting system. The data displayed in the view can be filtered, sorted and exported to MS Excel using the standard IS ALeX controls.

The Jobs module

The Jobs module provides means to define jobs that run periodically. Hence, the system can be configured to periodically send emails with list of new documents to concerned users or to automatically export stored data to presentations at a web server. Users can easily configure jobs that send pieces of information by email. System administrator can configure more complex jobs using built-in PHP API.
